Executive Personal Assistant to the General Secretary

The Congress of South African Trade Unions (COSATU) has a vacant position of the Executive Personal Assistant to the office of the General Secretary, based in its head office in Braamfontein

The successful candidate`s primary responsibility will be to ensure that the General Secretary has excellent administrative support:

Other responsibilities include:

  • Maintain, organize and manage an ever-changing diary and complex schedule of the General Secretary;
  • Managing and screening telephone calls in the office of the General Secretary;
  • Making calls on behalf of the General Secretary and maintaining a directory of all relevant phone and fax contact numbers;
  • Perform all typing required by the General Secretary;
  • Check postal mail, email and faxes on daily basis;
  • Respond to mail as directed by the General Secretary;
  • Make logistical arrangements for all meetings organized by the Secretariat;
  • Ensure that the relevant documentation is available for every meeting coordinated by Secretariat;
  • Make follow up on al appointments and ensure confirmations before each meeting;
  • Prepare and circulate documentation related to constitution and other meetings involving Secretariat;
  • Develop and maintain the filing system in Secretariat

Requirements:

  • Secretarial Diploma or equivalent qualification
  • Command of written and spoken English
  • Minimum 3 years relevant experience as Executive PA
  • Exceptional computer literacy
  • Organizing/recording of proceedings and meetings
  • Reliability, confidentiality and discretion
  • Sound human relations as well as personal and interaction skills
  • Flexibility with hours and scheduling; available to work overtime as needed
  • Flexibility to work outside of strict job description parameters, thinking creatively about how to provide highest quality of service;
  • Ability to work independently and as part of the team and multi-task effectively
